Welcome to Kanahub by Kanaliiga. Your privacy is important to us. This Privacy Policy explains how we collect, use, and protect your personal data when you participate in our esports platform.

2. Data We Collect

By participating in a game organized by Kanaliiga, we collect and store the following data:

• Steam ID and Nickname: Required to track your participation in games.
• Discord ID and Username: Collected when you link your Discord account, used for communication and role assignment within the Kanaliiga Ry Discord server.
• Team and Organization Association: Linked through your Steam ID.
• Performance and Game Data: Parsed from matches for ranking and statistical purposes.
• Personal Email or Work Email & Full Name: Collected with consent to verify your team/organization.

3. Why We Process Your Data

We process your data only when there is a lawful basis to do so, such as fulfilling a contract, based on your consent, or where we have a legitimate interest. Specifically, we process your data for the following reasons:

• Ranking History & Statistics (legitimate interest): To maintain player records and provide statistical services.
• Verification (legitimate interest): Ensuring players are correctly associated with their teams/organizations.
• Communication & Coordination (legitimate interest): Using Discord ID and username for team coordination, tournament communication, and platform integration.

4. Data Retention

We retain:

• Steam ID, Nickname, Team and/or Organization Association & Performance Data: Stored for ranking history and statistical purposes.
• Discord ID and Username: Stored until you unlink your Discord account or request deletion.
• Personal Email & Work Email & Full Name: Stored until a user requests deletion.

Retention periods are reviewed periodically, and data is deleted or anonymized when no longer needed for the stated purposes.

5. User Rights

Under the GDPR, you have rights regarding your personal data:

• Access: You can request a copy of the personal data we store.
• Correction: If any information is incorrect, you can request a correction. You can also edit your personal data in your profile.
• Deletion: You can request the deletion of your personal email, work email, full name, and Discord ID/username at any time. However, Steam ID and nickname cannot be deleted due to their essential role in maintaining ranking history and statistical tracking. If you wish to have them anonymized, we can replace your Steam ID and nickname with random identifiers, ensuring they can no longer be traced back to you.

If you believe your data has been processed unlawfully, you have the right to lodge a complaint with the Finnish Data Protection Ombudsman (Tietosuojavaltuutetun toimisto) or your local supervisory authority.

6. Email Communications

6.1. Essential Communications

The following communications are necessary for tournament participation and cannot be opted out of:

• Captain Information Packets: When you register as a team captain for a season, you will automatically receive a welcome email containing essential tournament information, including registration details, important dates, payment information (if applicable), Discord server links, and resources.
• Account-Related Communications: Email verification messages, password reset emails, and other account management communications.

6.2. Season Information Newsletter

When you participate in a Kanaliiga tournament, you may receive season-related information emails from tournament organizers. These communications may include tournament updates, schedule changes, important announcements, rule clarifications, and other information relevant to your active tournaments.

Opt-Out Option: You can opt out of receiving the season information newsletter while still participating in tournaments. To opt out, update your preferences in your profile settings or contact us at info@kanaliiga.fi.

Important: Please note that opting out of the season information newsletter means you will not receive tournament updates via email. You will still be able to access all information through the Kanahub platform and Discord. However, we strongly recommend staying subscribed to ensure you receive timely updates about your active tournaments.

Note for Captains: Even if you opt out of the season information newsletter, you will still receive the mandatory captain information packet when you register your team, as this is essential for tournament participation.

6.3. Marketing Communications

If you have opted in to receive marketing communications, we will use your personal data to send you promotional emails, event notifications, and updates about Kanaliiga Ry activities. This may also include emails from our partners or sponsors that may contain promotional content, such as discount codes or special offers related to esports and gaming.

We will never share your personal data with third parties for marketing purposes. All marketing communications, including those from partners or sponsors, will be sent by Kanaliiga Ry on their behalf and will not involve sharing your email address directly with third parties.

You can withdraw your consent at any time by updating your profile settings or by clicking the unsubscribe link in any marketing email you receive.

7. Data Sharing with Third Parties

We may share your personal data with third parties for the purposes outlined in this Privacy Policy. This data sharing is based on our legitimate interests in providing our services and facilitating the organization of events, tournaments, and other activities related to the Kanaliiga platform.

We may share the following data with trusted third parties:

• esports Partners (e.g., Faceit): To facilitate tournament and game participation, we may share your Steam ID, nickname, and other relevant performance data.
• Game Platforms (e.g., Steam): To verify your game participation, we may share your Steam ID and nickname.
• Tournament Organizers: To organize finals, live tournaments, and other competitive events, we may share your Steam ID, nickname, and other relevant data.
• Other Kanaliiga Ry Services: Your data may also be shared with other Kanaliiga Ry services that facilitate your participation in community events, rankings, or other services related to your involvement in the platform.

We do not share your full name, work email, or personal email with third parties unless necessary for event coordination or related services. Faceit,Discord and Steam have their own privacy policies and process data independently. We do not transfer or share your personal data with them beyond what is necessary for you to use their services.

8. Cookies and Analytics

We use Google Analytics 4 to understand how visitors use Kanahub. Analytics data is only collected if you explicitly consent via the cookie banner shown on your first visit. If you decline, no analytics data is sent.

The following cookie categories are used on our platform:

• Essential cookies — required for the platform to function (such as authentication). These are used without explicit consent as they are necessary for the service to operate.
• Analytics cookies (Google Analytics 4) — used to measure page views and feature usage in aggregate. Only collected with your explicit consent.

Your consent choice is stored locally in your browser. You can withdraw or change your consent at any time by clicking Cookie Preferences in the site footer.

9. Security Measures

We implement strong security measures to protect your personal data, including:

• Access Control: Only authorized personnel can access personal data.
• Encryption: Protecting data storage and transmissions.
• Audit Logging: We maintain audit logs for tables containing personal data to track and monitor access and modifications. Steam ID and nickname are excluded from this logging, as they are not considered sensitive for these purposes.

We may update this Privacy Policy from time to time. When we make significant changes to this policy, we will:

• Update the "Last Updated" date at the top of this page
• Notify you when you log in that the privacy policy has been updated
• Require you to review and accept the updated privacy policy before you can continue using the platform
• Redirect you to your profile page where you can review the changes and accept the updated policy

Your continued use of the platform after accepting the updated privacy policy indicates your agreement to the changes. If you do not agree with the updated policy, you may contact us to discuss your concerns or request deletion of your account.
